Job Purpose:

Provide technical administrative support to leadership and personnel within a dedicated department, division, or section.

Job Context & Major Challenges:

Ensure governance compliance within the nominated department.

Maintain confidentiality of information across various Ventures.

Manage complex interfaces with numerous internal and external stakeholders (QP, other shareholders).

Operate in a multicultural, multinational environment requiring maturity and excellent communication skills.

Work under direct supervision.

Key Job Accountabilities:

Database Management:

Maintain and handle databases to ensure accuracy, quality checks, and verify reliability of source information.

Document Handling:

Handle incoming and outgoing documents requiring signatures, and send them via email to originating parties.

Complete administrative tasks such as e-filing, and preparation of letters and memos.

Data Maintenance:

Maintain, organize, analyze, update, and retrieve data from SAP, Access, and appropriate data files.

Update records accordingly in SAP and/or other corporate systems.

Reporting:

Prepare data to generate report charts and presentations.

Identify information processing problems and escalate to the manager when applicable.

Administrative Support:

Assist and complete daily management activities for the Department or Division Manager, including preparing agendas, drafting correspondence, typing, proofreading, and organizing diary and calendar meetings.

Provide point of reference on simple aspects of work for guidance on practices, precedents, and techniques.

Provide support to all staff associated with logistics, overtime, gate passes, and other business-related support.

Documentation System:

Establish and maintain a documentation system to ensure proper storage and retrieval of required documents.

Initiate and deliver appropriate paperwork to advise customers, superiors, and junior staff.

Meeting Coordination:

Coordinate meetings, including paperwork, agendas, and pertinent documentation.

Requirements:

Qualifications:

Secondary school (12 years) formal education.

Experience:

5 years of relevant experience.

Skills:

Good command of written and spoken English.

Proficient keyboard and PC skills.

Proficiency in general software use, including Microsoft Office tools and SAP.

Knowledge of some financial and budgetary processes.
