Job Description

Executive Administrative Support: The Sr. Administrative Officer provides comprehensive administrative and secretarial support to the Management Team, ensuring that daily operations run smoothly and efficiently. This role acts as a key coordination point, handling sensitive information with professionalism while supporting leadership through organized, timely, and proactive administrative assistance.

Diary and Travel Coordination: The position is responsible for managing complex and frequently changing schedules, including executive diaries, appointments, and meetings. The Sr. Administrative Officer coordinates detailed travel arrangements, accommodations, and itineraries, ensuring accuracy, flexibility, and compliance with company requirements at all times.

Meeting and Communication Management: This role involves organizing meetings, preparing agendas, and accurately recording minutes for effective follow-up and decision tracking. The officer communicates business memos and internal correspondence clearly and professionally, supporting transparency and alignment across departments.

Human Resources and General Services Support: The Sr. Administrative Officer plays an active role in supporting HR and General Services functions by coordinating residency processing, renewals, and follow-ups. The role ensures that all employee-related administrative activities are handled efficiently and in accordance with internal policies and local regulations.

Office Administration and Compliance: A key responsibility includes overseeing office inventory, supplies, and service coordination to maintain a productive work environment. The officer also ensures the timely renewal of licenses and permits, supporting operational compliance and minimizing administrative risks.

Confidential Documentation Handling: The role manages sensitive personnel documentation such as salary certificates, official letters, and passport withdrawals with a high degree of discretion. Maintaining confidentiality and data accuracy is essential, as the Sr. Administrative Officer is trusted with critical employee and management information.
