Role Overview: The Shipping Coordinator will be pivotal in managing the logistics of international shipments, ensuring efficient and timely delivery of goods. The role involves coordinating with various stakeholders, preparing documentation, and ensuring compliance with regulatory requirements. The successful candidate will play a crucial role in maintaining smooth shipping operations and supporting the broader logistics and supply chain functions.

Key Responsibilities:

Shipment Management:

Coordinate shipment bookings with internal teams and external partners to ensure timely and efficient delivery of international inbound and outbound shipments.

Track and monitor shipment progress to resolve any issues or delays proactively.

Documentation and Compliance:

Prepare and manage shipping documents including invoices, packing lists, delivery advice, and delivery notes using WMS systems or Excel.

Apply for Certificates of Origin through the Chamber of Commerce or Ministry of Commerce, and ensure proper attestation of invoices and certificates.

Liaise with the product compliance team to obtain pre-approvals for regulated commodities and ensure all shipping documents comply with customs and regulatory requirements.

Regulatory and Customs Coordination:

Prepare HS code summaries for import and export shipments to ensure accurate classification and compliance.

Book appointments for collection and delivery to warehouses and stores, and ensure all advanced shipment notifications are correctly prepared.

Cost Management:

Book landed costs in the system to maintain accurate financial records related to shipping expenses.

Analyze and manage costs associated with shipping and logistics to optimize efficiency.

Stakeholder Communication:

Communicate effectively with internal departments, suppliers, and external partners to coordinate logistics operations and resolve issues.

Provide timely updates on shipment status and address any concerns raised by stakeholders.

Requirements:

Educational Background:

Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field is preferred.

Experience:

Proven experience in shipping and logistics coordination, preferably within the luxury or retail sector.

Experience with WMS systems and familiarity with customs regulations and documentation requirements.

Skills:

Proficiency in English is essential, both spoken and written.

Strong computer skills, including proficiency in Microsoft Office applications (Excel, Word, PowerPoint).

Ability to handle multiple tasks and manage priorities effectively in a fast-paced environment.

Personal Attributes:

Strong organizational and problem-solving skills with keen attention to detail.

Excellent communication and interpersonal skills, capable of working collaboratively with diverse teams and stakeholders.
