Receptionist cum Office Administrator

Job Description

Overview:

A leading freight forwarding company in Dubai is seeking a professional and dynamic Receptionist cum Office Administrator to join our team and support our operational excellence.

Key Responsibilities:

Front Desk Management

Serve as the first point of contact for clients, visitors, and team members

Maintain a professional and welcoming reception area

Manage incoming calls, emails, and correspondence

Handle visitor inquiries and provide exceptional customer service

Administrative Support

Coordinate and schedule meetings and appointments

Manage office supplies and inventory

Maintain organized filing systems (digital and physical)

Prepare and process routine correspondence and documentation

Assist in preparing reports and administrative documents

Operational Coordination

Support daily office operations and ensure smooth workflow

Liaise between different departments and external stakeholders

Assist in coordinating logistics and shipping-related communications

Help manage administrative processes for freight forwarding operations

Professional Requirements:

Qualifications

2-3 years of professional experience in UAE freight forwarding or shipping industry

Strong communication skills in English (Arabic language skills are a plus)

Excellent interpersonal and customer service abilities

Proficient in Microsoft Office suite

Detail-oriented with strong organizational skills

Professional appearance and demeanor

Ability to multitask in a fast-paced environment

Quick learner with adaptability

Problem-solving and proactive approach

Strong verbal and written communication skills

Technical Skills:

Proficiency in office management software

Basic understanding of freight forwarding processes

Data entry and record-keeping capabilities

Telephone and email etiquette

Additional Requirements:

Currently residing in Dubai

Immediate availability

Willingness to work in a dynamic, fast-paced environment
