Job Summary:

Connecting Minds is seeking a highly organized and professional Receptionist and Admin Assistant to join our team in the Gold and Bullion industry in Dubai, UAE. The ideal candidate will be responsible for providing administrative support and exceptional customer service to our clients and visitors. This role requires a proactive and detail-oriented individual who can handle a variety of administrative tasks with efficiency and professionalism.

Key Responsibilities:

Visitor Management:

Greet and assist visitors in a courteous and professional manner, ensuring a positive experience for all guests.

Answer and direct phone calls, take messages, and handle inquiries with discretion and efficiency.

Manage the reception area, ensuring it is tidy and presentable at all times.

Scheduling and Coordination:

Coordinate and schedule appointments, meetings, and conference room bookings.

Handle incoming and outgoing mail and packages, including distribution and shipping.

Administrative Support:

Provide administrative support to various departments, including data entry, filing, and document management.

Assist with office supply management and procurement as needed.

Assist with basic accounting and bookkeeping tasks, such as invoice processing and expense tracking.

Collaborate with team members to support various ad-hoc projects and tasks as needed.

Requirements:

Education and Experience:

Bachelor’s degree or equivalent; additional certification in Office Management is a plus.

Proven experience as a receptionist, front office representative, or similar role.

Skills and Competencies:

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic accounting software.

Excellent communication and interpersonal skills, with a friendly and professional demeanor.

Strong organizational and multitasking abilities, with a keen attention to detail.

Ability to handle confidential information with integrity and discretion.

Customer service-oriented with a positive and helpful attitude.

Ability to work effectively both independently and as part of a team in a fast-paced environment.

Fluency in English and Hindi, knowledge of additional languages is a plus.

Familiarity with the Gold and Bullion industry is preferred but not required.

Salary:

AED 4,000 per month inclusive of fixed allowances.
