Duties & Responsibilities:

Front Desk Management:

Greet and welcome visitors in a professional and friendly manner.

Answer, screen, and forward incoming phone calls, providing accurate information when required.

Maintain the reception area in a tidy and presentable condition, equipped with all necessary stationery and materials.

Administrative Support:

Provide comprehensive administrative assistance to various departments as needed.

Handle and organize incoming and outgoing mail and deliveries.

Schedule and coordinate appointments and meetings, ensuring all logistics are managed effectively.

Prepare and distribute correspondence, memos, and forms as required.

Assist in the preparation of regularly scheduled reports.

Office Coordination:

Ensure office supplies are stocked and reorder as necessary.

Coordinate office maintenance and repairs, liaising with vendors and service providers.

Assist in organizing company events, meetings, and conferences.

Document Management:

Maintain and update filing systems, both physical and digital.

Ensure all documents are accurately filed and can be retrieved efficiently.

Handle confidential and sensitive information with discretion and integrity.

Customer Service:

Address and resolve basic inquiries from clients and visitors.

Provide exceptional customer service by understanding and anticipating the needs of visitors and colleagues.

Compliance and Procedures:

Ensure all administrative procedures are followed in accordance with company policies.

Stay updated on new company policies and ensure compliance with all regulatory requirements.

Requirements:

Experience:

At least 3-5 years of experience as a receptionist or administrative assistant in the UAE or in the candidate's home country.

Education:

Bachelor's degree in Business Administration, Management, or a related field.

Skills:

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Excellent verbal and written communication skills.

Strong organizational skills with the ability to multitask and prioritize tasks.

Attention to detail and problem-solving skills.

Ability to work independently and as part of a team.

Personal Attributes:

Professional appearance and demeanor.

Strong interpersonal skills.

High level of integrity and reliability.

Location:

Willingness to work in Abu Dhabi.
