Role Overview – Nabdh Alshifa Medical Center a medical center in Sharjah is seeking a Receptionist with a presentable personality, excellent communication skills, and a professional, organized, patient-focused approach. This position is ideal for customer service professionals who can manage patient appointments, handle inquiries, and support smooth front desk operations in a healthcare setting.
Patient Reception and Welcome – You will welcome patients and visitors warmly as the first point of contact at the medical center, greet patients professionally upon arrival, provide friendly assistance, create welcoming atmosphere, guide patients through registration and check-in processes, offer directions and information, ensure comfortable waiting experiences, and make positive first impressions that set the tone for quality healthcare service.
Appointment Management and Scheduling – You will manage patient appointments and scheduling by coordinating with doctors and medical staff on availability, booking consultations and procedures, confirming appointment details with patients, sending appointment reminders via calls or SMS, managing appointment changes and cancellations, optimizing scheduling to minimize wait times, maintaining appointment calendars, and ensuring efficient appointment coordination.
Patient Enquiry Handling – You will handle patient enquiries professionally by answering questions about medical services, clinic timings, doctor availability, appointment procedures, billing, insurance acceptance, and medical center policies. You will provide accurate information, explain processes clearly, address concerns promptly, demonstrate empathy, and ensure patients feel heard and supported.
Patient Follow-Ups – You will ensure proper follow-ups by coordinating post-visit appointment scheduling, reminding patients of follow-up visits, contacting patients for test result collection, following up on pending matters, coordinating with medical staff on patient care continuity, maintaining follow-up logs, and ensuring patients receive appropriate ongoing care coordination.
Patient Registration and Records – You will register new patients by collecting demographic and contact information, verifying patient details, maintaining patient databases, updating patient records, ensuring data accuracy and completeness, managing patient files, inputting information into clinic management systems, and protecting patient confidentiality according to healthcare privacy standards.
Phone Management – You will manage incoming phone calls professionally, answer patient inquiries over the phone, schedule appointments via telephone, handle emergency calls appropriately, transfer calls to relevant departments or doctors, take messages accurately, return missed calls, and ensure responsive telephone communication.
Billing and Payment Coordination – You will assist patients with billing inquiries, explain consultation fees and charges, process payments, issue receipts, coordinate with billing department on invoicing, verify insurance coverage, coordinate insurance billing when applicable, and ensure transparent communication on financial matters.
Insurance Verification and Coordination – You will verify patient insurance coverage, collect insurance cards and documentation, coordinate with insurance companies on approvals and claims, explain insurance processes to patients, facilitate direct billing arrangements, and support smooth insurance coordination that helps patients access care.
Check-In and Check-Out Procedures – You will manage patient check-in by verifying appointments, updating patient information, collecting required documents, coordinating with medical staff on patient arrival, and ensuring smooth check-in processes. You will manage check-out by scheduling follow-up appointments, processing payments, providing prescriptions or medical reports, and ensuring complete check-out procedures.
Front Desk Operations – You will manage front desk operations including maintaining reception area cleanliness and organization, organizing patient flow, coordinating waiting area management, distributing forms and informational materials, managing queue systems when applicable, maintaining tidy and professional reception environment, and ensuring efficient front office operations.
Communication Excellence – You will demonstrate excellent communication skills through clear and courteous verbal communication, professional written communication in emails and messages, active listening to patient concerns, empathetic responses to patient situations, cultural sensitivity in diverse patient interactions, and representing the medical center professionally in all communications.
Professional and Organized Approach – You will maintain professional demeanor by dressing presentably, maintaining courteous behavior, demonstrating reliability and punctuality, organizing work systematically, managing time effectively, prioritizing tasks appropriately, maintaining composure during busy periods, and upholding professional standards consistently.
Patient-Focused Service – You will demonstrate patient-focused approach by putting patient needs first, showing compassion and understanding, addressing patient concerns sensitively, respecting patient privacy and dignity, ensuring patient comfort, accommodating special needs when possible, and creating caring environment that supports positive patient experiences.
Medical Center Systems – You will utilize medical center management systems, appointment scheduling software, electronic health records (EHR) or patient databases, billing systems, and other healthcare IT platforms effectively. You will input data accurately, retrieve patient information, generate reports when needed, and leverage technology to enhance reception operations.
Coordination with Medical Staff – You will coordinate with doctors, nurses, medical assistants, pharmacy, laboratory, and other departments. You will communicate patient arrivals, relay messages between patients and medical staff, coordinate patient flow to consultation rooms, facilitate communication across the medical center, and support seamless healthcare delivery.
Emergency Protocol Awareness – You will recognize medical emergencies among patients in waiting area, alert medical staff immediately, follow emergency procedures, remain calm during urgent situations, support emergency response coordination, and ensure patient safety during emergencies.
