Job Description
Front Desk Operations: The Receptionist will manage all front office activities, serving as the first point of contact for visitors, clients, and staff. This includes greeting guests, answering calls, responding to emails, and providing professional assistance to ensure a welcoming and organized environment.
Appointment Scheduling: The role involves scheduling and coordinating appointments, meetings, and events efficiently. The receptionist will maintain accurate calendars, track follow-ups, and provide reminders to ensure timely attendance and smooth workflow.
Document Handling: Receptionists will assist in handling incoming and outgoing correspondence, managing mail, and maintaining organized filing systems. They will ensure that documents are processed promptly and records are kept up-to-date for easy retrieval.
Customer Service Support: The receptionist will provide exceptional customer service by addressing client inquiries, resolving basic issues, and directing complex queries to the appropriate department. Strong interpersonal skills are key to maintaining positive relationships.
Communication Coordination: This position requires constant interaction with internal teams and external clients. The receptionist will relay messages accurately, coordinate departmental communications, and support management in ensuring information flows smoothly.
Data Management: Receptionists will maintain logs, databases, and records related to visitors, appointments, and daily office activities. Accuracy in data entry and attention to detail is critical for operational efficiency and reporting purposes.
