Job Description

About the Role

We are seeking a professional, personable Receptionist to serve as the face of our organization at our Abu Dhabi headquarters. This individual will create positive first impressions while efficiently managing front desk operations and providing administrative support.

Working Hours

Monday to Friday

8:00 AM - 6:30 PM

1-hour lunch break daily

Key Responsibilities

Visitor Management

Provide a warm, professional welcome to all clients, employees, and visitors

Manage visitor sign-in procedures and issue visitor badges when required

Notify appropriate staff of visitor arrivals

Ensure reception area remains clean, organized, and professionally presented at all times

Communication Management

Answer, screen, and direct incoming phone calls promptly and professionally

Handle general email inquiries and direct specialized inquiries to appropriate departments

Take accurate messages and ensure timely delivery to recipients

Maintain updated company directory and contact lists

Mail and Correspondence

Process incoming and outgoing mail and packages

Log and distribute deliveries to appropriate departments

Coordinate courier services when needed

Maintain postage and shipping supplies

Administrative Support

Schedule and coordinate meeting rooms and conference facilities

Assist with meeting preparations including room setup and refreshments

Perform data entry tasks with high accuracy

Maintain office filing systems (both physical and digital)

Manage office supply inventory and place orders when necessary

Assist with basic HR administrative tasks as needed

Support other departments with administrative tasks during peak periods

Qualifications

Required

High school diploma or equivalent

Strong verbal and written communication skills in English

Proficiency with Microsoft Office suite (Word, Excel, Outlook)

Experience with office equipment (printers, scanners, phone systems)

Professional appearance and excellent personal presentation

Ability to maintain confidentiality and handle sensitive information

Preferred

1-2 years of previous receptionist or front desk experience

Experience in an engineering or professional services environment

Knowledge of Arabic (spoken and written)
