Procurement Officer

Job Description

Procurement Planning & Strategy: Develop and execute procurement strategies to ensure timely and cost-effective sourcing of goods and services. Analyze market trends, supplier performance, and demand forecasts to create efficient procurement plans. Collaborate with internal teams to understand operational needs and align procurement activities with business objectives. Continuously identify opportunities to reduce costs, streamline processes, and enhance supply chain efficiency. Ensure alignment with company policies, budget constraints, and quality standards.

Supplier Identification & Management: Source, evaluate, and select reliable suppliers to meet the organization’s procurement requirements. Build strong relationships with vendors and monitor their performance to ensure high-quality delivery. Negotiate contracts, terms, and pricing to achieve the best value while maintaining ethical standards. Maintain a database of approved suppliers and track performance metrics. Develop contingency plans to mitigate risks related to supplier reliability or market fluctuations.

Purchasing & Order Management: Prepare and process purchase orders accurately and efficiently. Monitor order status to ensure timely delivery of goods and services. Coordinate with suppliers to resolve discrepancies, delays, or quality issues. Maintain records of purchase transactions, invoices, and delivery confirmations. Ensure adherence to procurement procedures and approval hierarchies. Collaborate with internal departments to align procurement activities with operational priorities.

Inventory & Cost Control: Work closely with inventory management teams to track stock levels, reorder points, and inventory turnover. Analyze procurement data to identify opportunities for cost savings and process improvements. Implement measures to reduce wastage, excess stock, and unnecessary expenditures. Monitor budget adherence and provide regular updates to management on procurement performance. Ensure inventory levels meet operational needs without overstocking.

Contract Negotiation & Compliance: Negotiate contracts and agreements with suppliers, ensuring favorable terms and conditions. Ensure compliance with local regulations, company policies, and industry standards. Review and update contracts periodically to reflect changing requirements. Manage risk through thorough evaluation of supplier capabilities and contractual obligations. Maintain documentation for audits and regulatory purposes.

Collaboration & Stakeholder Management: Work closely with internal teams, including finance, operations, and logistics, to ensure procurement activities support business needs. Provide guidance and updates to management on procurement plans and supplier performance. Serve as a liaison between suppliers and internal departments to resolve issues efficiently. Foster a collaborative environment and promote transparency in procurement decisions.

Process Improvement & Reporting: Continuously assess procurement processes and recommend improvements to enhance efficiency and effectiveness. Generate reports on procurement activities, supplier performance, and cost savings. Track key performance indicators and provide insights to management for decision-making. Implement best practices and technology solutions to streamline procurement workflows and reporting. Ensure data accuracy and proper documentation.
