Job Description

Position Overview

We are seeking a highly organized and professional Personal Secretary to provide comprehensive administrative support to senior management. The ideal candidate will be detail-oriented, discrete, and skilled in managing complex schedules and communications.

Key Responsibilities

Manage executive calendar, including scheduling meetings, appointments, and travel arrangements

Handle confidential correspondence, documents, and communications

Screen and direct phone calls, emails, and visitors

Prepare and edit business documents, presentations, and reports

Organize and maintain filing systems, both digital and physical

Coordinate meetings, including preparation of agendas and taking minutes

Make travel arrangements and prepare detailed itineraries

Process expenses and maintain administrative records

Assist with special projects and events as needed

Required Qualifications

Bachelor's degree in Business Administration or related field

Minimum 3-5 years of experience as an executive secretary or similar role

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Excellent written and verbal communication skills in English

Strong organizational and time management abilities

Proven ability to handle confidential information with discretion

Experience in calendar management and scheduling

Preferred Qualifications

Knowledge of Arabic language

Experience working in UAE or GCC region

Familiarity with digital productivity and collaboration tools

Previous experience in educational institution administration
