Position Overview:

Yo Telecom, a progressive and forward-thinking company, is seeking a highly organized and energetic Personal Assistant to join our dynamic team in Dubai. As a Personal Assistant, you will be the primary point of contact between the CEO and internal/external stakeholders, ensuring the smooth operation of the office and supporting the company’s growth initiatives in 2024. This role offers an exciting opportunity to be involved in various aspects of the business, beyond just the day-to-day administrative tasks

Key Responsibilities:

Primary Contact and Scheduling:

Stakeholder Management: Act as the primary point of contact between the CEO and internal/external stakeholders, managing communications efficiently and professionally.

Diary Management: Arrange diary appointments and manage schedules for the CEO and COO, ensuring optimal time management and prioritization of tasks.

Event and Meeting Coordination:

Event Planning: Assist in the organization of company events, conferences, and meetings, ensuring all logistical aspects are covered.

Meeting Support: Prepare meeting agendas, take detailed notes, and follow up on action items to ensure timely execution.

Office Management and Administration:

Office Efficiency: Ensure the office runs smoothly and efficiently, implementing systems to reduce the administrative workload.

Administrative Support: Provide high-level administrative support, including managing databases, updating spreadsheets, and handling various office tasks.

Research and Reporting:

Data Compilation: Conduct research, compile data, and prepare reports and presentations as required by the CEO and COO.

Project Coordination: Liaise with project managers to track the progress of projects and ensure they are moving at the right pace.

Travel and HR Coordination:

Travel Arrangements: Organize travel and accommodation for the CEO, COO, and other key staff members as needed.

VISA Management: Manage the employment VISA process for new employees, ensuring all documentation and procedures are completed efficiently.

HR Duties: Assist with other office management and HR duties as required, including raising concerns with the General Manager and COO.

Candidate Specification:

Experience and Skills:

Language Proficiency: Fluent in English, both verbal and written, with excellent communication skills.

PA Experience: Minimum of 2+ years of experience in a Personal Assistant role supporting a CEO or General Manager, with strong diary management skills.

Administrative Skills: Minimum of 2+ years of experience in administration, including proficiency in using Google Suite and other office software.

Attention to Detail: Strong attention to detail, with the ability to manage multiple tasks and priorities in a fast-paced environment.

Organizational Skills: Highly organized, capable of implementing effective administrative systems, and able to work under pressure.

Education:

Degree Level: Educated to degree level in a relevant field.

Personality Traits:

Friendly and Energetic: A friendly, energetic individual who is driven to succeed and enjoys being part of a dynamic team.

Salary:

Compensation: AED 5,000 to 6,000 per month inclusive of fixed allowances.
