Duties & Responsibilities:

Core Responsibilities:

Greeting Visitors:

Welcome visitors as they arrive.

Ensure visitors sign in and direct them to the appropriate person or location.

Telephone Management:

Answer incoming calls and direct them to the relevant departments or individuals.

Take messages when necessary and handle phone inquiries effectively.

Appointment Scheduling:

Manage and schedule appointments, meetings, and conference room bookings.

Maintain and update calendars for staff members.

Mail Handling:

Sort and distribute incoming mail.

Prepare outgoing mail and coordinate courier shipments.

Administrative Support:

Assist with various administrative tasks including data entry, filing, and document organization.

Perform basic office tasks such as photocopying, scanning, and faxing.

Customer Service:

Provide exceptional customer service to clients, visitors, and staff members.

Address inquiries and resolve complaints in a professional and courteous manner.

Security Management:

Monitor access to the building and ensure only authorized personnel enter.

Maintain visitor logs and issue visitor badges as required.

Requirements:

Bachelor’s degree in a relevant field.

0-1 year of experience in a similar administrative or customer service role.

Strong communication skills and a professional demeanor.

Excellent organizational and multitasking abilities.

Proficiency in MS Office (Word, Excel, Outlook).

Ability to handle a fast-paced environment and prioritize tasks effectively.
