Job Overview: We are seeking a professional and detail-oriented Office Secretary to join our fast-growing construction firm based in Ajman, UAE. The ideal candidate will have a strong civil background and be capable of handling administrative and clerical tasks with minimal supervision. This role requires a well-organized individual with excellent communication and coordination skills to help support our operations and ensure efficiency in daily tasks.
Key Responsibilities: As an Office Secretary, your responsibilities will include managing schedules, maintaining records, handling calls, drafting correspondence, and providing comprehensive administrative support to the management and technical teams. You will also be required to coordinate with other departments to ensure project documents, reports, and office records are up-to-date and accurately filed.
Document Management: The candidate must be capable of managing project documentation including but not limited to invoices, memos, letters, and project reports. You will play a crucial role in maintaining confidentiality and ensuring data integrity within our office systems. Familiarity with document control practices in the construction sector will be highly beneficial.
Communication & Coordination: Daily coordination with engineers, subcontractors, and suppliers is a key part of the role. You will schedule meetings, take minutes, and act as the primary point of contact between the office and field staff. Strong communication skills are essential to streamline operations and ensure timely follow-ups.
Technical Proficiency: A civil background is preferred as the role may involve assisting with construction-related documentation and basic technical terminology. Familiarity with software like MS Office Suite and any construction project management tools (like Primavera or AutoCAD documentation) will be an added advantage.
