Job Description

Role Overview – Premier Class Building Contracting L.L.C is hiring an Office Assistant for a full-time, on-site role based in Dubai, UAE. This position is ideal for organized, proactive administrative professionals with strong coordination skills, customer service capabilities, and the ability to provide administrative support, manage office operations, handle documentation, and support day-to-day office functions across the organization.

Administrative Support and Assistance – You will provide administrative support and assistance by supporting management and team members with daily administrative tasks, preparing documents and correspondence, managing schedules and appointments, organizing files and records, coordinating meetings, and ensuring efficient administrative operations that support business productivity.

Reception and Front Office Duties – You will manage reception and front office duties by welcoming visitors and guests professionally, managing visitor registration and access, answering and directing phone calls, handling incoming and outgoing mail and couriers, maintaining reception areas, and providing professional first point of contact for clients and visitors.

Documentation and Filing Management – You will manage documentation and filing by preparing, organizing, and maintaining physical and digital files, scanning and archiving documents, managing document distribution, ensuring proper filing systems, tracking important documents, and maintaining organized, accessible records.

Communication and Correspondence Handling – You will handle communication and correspondence by managing emails and phone calls, screening and directing communications appropriately, responding to routine inquiries, drafting letters and memos, coordinating internal communications, and ensuring timely, professional communication.

Office Supplies and Inventory Management – You will manage office supplies and inventory by monitoring stock levels, ordering office supplies and stationery, coordinating office equipment maintenance, managing supplier relationships, tracking inventory, ensuring adequate supplies are available, and maintaining organized storage areas.

Meeting and Event Coordination – You will coordinate meetings and events by scheduling appointments, booking meeting rooms, preparing meeting materials, setting up meeting spaces, coordinating catering when required, taking meeting minutes when needed, and supporting internal and client meetings.

Travel and Logistics Support – You will support travel and logistics by assisting with travel arrangements (booking flights, hotels, transportation), preparing travel itineraries, coordinating visa applications when required, managing travel documentation, processing travel expenses, and ensuring smooth travel coordination for staff.

Data Entry and Record Keeping – You will perform data entry and maintain records by entering information into databases and systems accurately, updating records, maintaining spreadsheets, tracking information, ensuring data accuracy, and managing administrative databases efficiently.

Customer and Client Service Support – You will provide customer and client service support by responding to client inquiries, coordinating client appointments, maintaining client records, supporting customer service activities, handling client communications, and ensuring positive client experiences.

Document Preparation and Formatting – You will prepare and format documents by creating reports, presentations, letters, and other documents using MS Office applications, formatting documents professionally, proofreading for accuracy, preparing templates, and ensuring high-quality document outputs.
