Job Description

Job Overview: We are seeking an energetic and detail-oriented Office Assistant to join our growing team in Dubai. This is a full-time role within a global investment firm where you’ll be responsible for handling key administrative tasks and ensuring a professional, organized environment that supports business efficiency.

Daily Administrative Tasks: You will manage daily administrative operations such as correspondence handling, filing systems, calendar scheduling, and internal documentation. You will play a key part in ensuring that the office operates smoothly on a day-to-day basis.

Support to Management: You will provide direct support to the management team by organizing meetings, taking minutes, preparing documents, and ensuring all communication flows effectively. Strong organizational skills and the ability to multitask are crucial for success in this role.

Document & File Management: You will be responsible for creating and maintaining accurate filing systems (both digital and physical). This includes scanning, labeling, and archiving files in a way that ensures confidentiality and accessibility when needed.

Internal Coordination: You will assist in coordinating with different departments, scheduling internal events, liaising with vendors or service providers, and ensuring all departments receive the logistical and clerical support they need.

Office Supplies & Vendor Handling: Manage office inventory, track supplies, handle procurement processes, and coordinate with vendors to ensure timely delivery and competitive pricing. You’ll ensure the workspace is stocked and functional.
