Role Overview
Esqube Plastics is hiring an Office Administrator in Dubai, UAE. This position is ideal for organized and proactive administrative professionals with proven office management experience, strong organizational and communication skills, proficiency in MS Office, and the ability to handle day-to-day administrative operations efficiently and independently in a manufacturing or trading environment.
Office Operations Management
Manage daily office operations by overseeing administrative functions, maintaining office supplies, coordinating facilities management, handling correspondence, and ensuring smooth day-to-day operations that support business efficiency and productivity.
Documentation and Record Management
Maintain comprehensive documentation and records by organizing files, managing company documents, processing contracts and agreements, updating databases, ensuring accurate filing systems, and providing easy retrieval of information when required.
Communication and Correspondence
Handle all internal and external communications including drafting emails, managing phone calls, responding to inquiries, coordinating with clients and suppliers, and ensuring professional representation of Esqube Plastics in all interactions.
Scheduling and Calendar Management
Manage scheduling and calendars by coordinating meetings, arranging appointments, booking conference rooms, preparing agendas, sending reminders, and ensuring efficient time management for management and key staff members.
Sales and Operations Support
Support sales and operations teams by preparing quotations, processing purchase orders, coordinating deliveries, following up with clients, maintaining sales records, and providing administrative assistance that enables business functions to run smoothly.
Vendor and Supplier Coordination
Coordinate with vendors and suppliers by managing procurement of office supplies, following up on orders, processing invoices, maintaining vendor records, and ensuring timely delivery of goods and services required for office operations.
Financial Administration Support
Support financial administration by processing invoices, tracking expenses, maintaining petty cash, coordinating with accounts for payment processing, preparing financial reports, and ensuring accurate record-keeping for all financial transactions.
HR and Administrative Support
Provide HR and administrative support by managing employee attendance records, coordinating leave requests, assisting with onboarding of new staff, maintaining personnel files, and supporting management with HR-related administrative tasks.
Compliance and Filing
Ensure compliance and proper filing by maintaining organized document management systems, tracking license renewals, managing company registrations, and ensuring all administrative documentation meets regulatory and company requirements.
