Position Overview:

RecruitMe FZE is seeking a meticulous and highly organized Legal Executive to join an international law firm based in Dubai, UAE. This role is critical in ensuring the smooth functioning of the legal department by providing comprehensive administrative support to the legal team. The successful candidate will be responsible for managing legal documents, conducting research, coordinating legal proceedings, and handling communication with various stakeholders, ensuring that all operations are conducted efficiently and professionally.

Key Responsibilities:

Administrative Support:

Scheduling and Calendar Management: Manage and coordinate the schedules of multiple lawyers, ensuring that all appointments, meetings, and court appearances are organized efficiently. This includes arranging travel, accommodation, and other logistics as required.

Case File Management: Organize, maintain, and update case files to ensure that all necessary documents are accessible and properly filed. This includes both physical and digital documentation.

Document Preparation: Assist in the drafting, reviewing, and preparation of legal documents such as briefs, pleadings, contracts, agreements, and legal memorandums. Ensure that all documents are accurate, well-organized, and adhere to the firm’s standards.

Legal Research and Documentation:

Legal Research: Conduct thorough legal research on various topics as required by the legal team. This may involve analyzing statutes, case law, and legal precedents to support the development of legal strategies and the preparation of cases.

Documentation Support: Assist in the preparation and filing of legal forms, court filings, and other necessary legal documents. Ensure that all documents meet the required legal standards and are submitted within deadlines.

Client and Stakeholder Communication:

Client Interaction: Serve as a point of contact between the legal team and clients, ensuring that all communications are professional, timely, and maintain client confidentiality. This includes handling inquiries, scheduling meetings, and providing updates on case progress.

Stakeholder Engagement: Manage communication with witnesses, court personnel, and other external parties involved in legal proceedings. Ensure that all correspondence is handled with the highest level of professionalism.

File and Records Management:

File Organization: Maintain and organize all legal files and records, both physical and electronic, to ensure that they are easily accessible and up-to-date. Implement a systematic filing system to enhance efficiency and compliance with legal standards.

Confidentiality Management: Adhere strictly to confidentiality and data protection policies to safeguard sensitive legal information. Ensure that all legal records are stored securely and that access is limited to authorized personnel only.

Billing and Financial Management:

Billing Processes: Manage the billing and invoicing processes for the legal department. Track expenses, generate invoices, and assist with budget management to ensure that all financial activities are conducted accurately and efficiently.

Expense Tracking: Monitor and record all expenses related to legal activities, ensuring that they are within budget and properly documented. Assist in preparing financial reports for the legal department as required.

Coordination of Legal Proceedings:

Court and Deposition Scheduling: Coordinate and schedule court appearances, depositions, and other legal proceedings. Ensure that all necessary materials are prepared, organized, and available for the legal team on time.

Material Preparation: Assist in preparing the materials needed for legal proceedings, including witness statements, evidence, and case summaries. Ensure that all materials are accurate and presented professionally.

Office Management and Support:

General Office Duties: Perform general office duties such as answering phones, managing incoming and outgoing mail, and maintaining office supplies. Ensure that the legal office operates smoothly and efficiently.

Technology and Software Management: Utilize legal software and case management systems to streamline operations. Stay updated on new technologies and tools that can enhance the efficiency of the legal department.

Professional Development and Compliance:

Continuous Learning: Stay informed of the latest developments in legal practice, including changes in laws and regulations. Attend relevant training sessions and workshops to enhance skills and knowledge.

Compliance: Ensure compliance with all relevant legal regulations and standards, including those related to document management, client confidentiality, and ethical practice.

Requirements:

Educational Background:

A relevant certification or diploma in legal studies, paralegal studies, or a related field is preferred. A Bachelor's degree in Law or a related discipline will be an advantage.

Professional Experience:

A minimum of 3-5 years of experience as a Legal Secretary, Legal Assistant, or Legal Executive within a fast-paced legal environment, preferably within an international law firm.

Proven experience in legal research, document preparation, and case management. Familiarity with legal terminology, procedures, and documentation standards is essential.

Strong track record in providing comprehensive administrative support to legal teams, including managing schedules, coordinating legal proceedings, and handling client communication.

Skills and Competencies:

Organizational Skills: Exceptional organizational and time management skills with the ability to prioritize tasks and manage multiple deadlines simultaneously.

Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with clients, attorneys, court personnel, and other stakeholders.

Technical Proficiency: Proficiency in using legal software and case management systems. Ability to quickly adapt to new technologies and tools that can enhance productivity.

Attention to Detail: Meticulous attention to detail with a commitment to maintaining high standards of accuracy and quality in all work.

Confidentiality and Integrity: Ability to handle sensitive and confidential information with the utmost integrity and discretion.
