HR & Admin Manager

Job Description

Role Overview – ERC International is hiring an HR & Admin Manager for a Shipping & Logistics company based in Dubai. This position requires 5+ years of experience with a strong HR and admin background. This Dubai-based role is ideal for experienced HR professionals who can manage comprehensive HR operations and administrative functions within the maritime and logistics industry.

HR Operations Management – You will manage complete HR operations including recruitment and selection, employee onboarding and offboarding, employment contract management, employee lifecycle administration, HR documentation processing, leave and attendance management, employee relations, performance management support, and ensuring efficient HR operational workflows that support the shipping and logistics business.

Recruitment and Talent Acquisition – You will handle end-to-end recruitment for shipping and logistics positions including seafarers, operations staff, sales personnel, and administrative roles. You will source candidates, screen applications, conduct interviews, coordinate with hiring managers, process offer letters, facilitate onboarding, and ensure successful hiring of qualified maritime and logistics professionals.

Employee Relations and Engagement – You will manage employee relations by addressing employee concerns and grievances, facilitating conflict resolution, supporting disciplinary processes, conducting exit interviews, promoting positive workplace culture, implementing employee engagement initiatives, maintaining open communication channels, and fostering harmonious work environment across shipping and logistics operations.

Compliance and Labor Law – You will ensure HR practices comply with UAE Labor Law, maritime labor regulations, shipping industry requirements, and company policies. You will coordinate visa and labor card processing, handle ministry documentation, maintain proper employment contracts, support labor inspections, ensure regulatory compliance, and stay updated on employment legislation affecting shipping and logistics sector.

Payroll Coordination – You will coordinate payroll processing by providing accurate payroll inputs including new hires, resignations, salary changes, overtime, allowances, deductions, leave records, and attendance data. You will liaise with payroll providers or finance teams, address payroll queries, ensure timely salary disbursement, and support smooth payroll operations.

Administrative Management – You will manage administrative functions including office operations, facility coordination, vendor management, office supplies procurement, travel arrangements, meeting coordination, documentation management, correspondence handling, and general administrative support that ensures smooth daily operations of the shipping and logistics office.

HR Documentation and Record Keeping – You will maintain comprehensive HR documentation including personnel files, employment contracts, HR correspondence, employee databases, attendance records, leave records, performance documentation, training records, and compliance documents. You will ensure organized record-keeping, data accuracy, confidentiality, and audit-ready HR documentation.

Office Administration and Facility Management – You will oversee office administration including managing office facilities, coordinating with building management, handling office maintenance issues, managing office assets and inventory, coordinating office moves or setup when needed, ensuring safe and functional work environment, and supporting operational needs of shipping and logistics teams.

Vendor and Service Provider Management – You will manage relationships with HR and admin service providers including PRO services, recruitment agencies, training providers, insurance companies, facility management vendors, and other service providers. You will coordinate services, negotiate contracts, monitor service quality, and ensure cost-effective vendor management.

Travel and Logistics Coordination – You will coordinate travel arrangements for employees including flight bookings, hotel reservations, visa arrangements for business travel, travel insurance, travel expense processing, and supporting smooth travel logistics for staff involved in shipping operations, client visits, or business development activities.
