Al Jaber Gallery invites organized professionals to join our HR team as an Admin Assistant in Dubai. This role offers hands-on experience in full-cycle HR operations within our dynamic retail environment, where precision and people skills drive organizational success.
Employee Lifecycle Management
You will facilitate seamless onboarding experiences by preparing new hire documentation, coordinating orientation schedules, and maintaining meticulous personnel files. Your role ensures every employee transition complies with UAE labor regulations and company policies.
Visa & Compliance Administration
Your responsibilities include processing work permit applications, renewals, and cancellations through government portals. You'll track visa expiries, medical appointments, and Emirates ID processing while maintaining up-to-date immigration records for all employees.
HR System Operations
As the gatekeeper of our Zeta HRMS platform, you'll input employee data, generate reports, and troubleshoot system queries. Your technical aptitude will ensure payroll accuracy and provide reliable people analytics for decision-making.
Insurance & Benefits Coordination
You'll administer health insurance enrollments, process card requests, and liaise with providers to resolve coverage issues. Additional duties include managing passport custody logs and coordinating visa stamping appointments.
HR Documentation
The position requires preparing various employment letters, contract renewals, and policy acknowledgments. Your bilingual drafting skills will create accurate Arabic/English correspondence that meets legal and organizational standards.
Departmental Support
Acting as HR's operational backbone, you'll schedule meetings, maintain supplies, and field employee inquiries. Your proactive approach will identify process improvements in filing systems and document workflows.
Candidate Profile
We seek detail-oriented candidates with:
- 1+ years HR admin experience (retail background preferred)
- Working knowledge of UAE labor law and WPS
- Proficiency in Zeta HRMS or similar platforms
- Strong Excel skills for data management
- Professional discretion with confidential information
