Job Description

Guest Communication Management: The Guest Contact Coordinator acts as the central communication hub of the hotel, managing all incoming and outgoing internal and external calls with exceptional professionalism. This role ensures every interaction is handled promptly, courteously, and accurately, reflecting the refined standards of luxury hospitality while creating a smooth and reassuring experience for guests and colleagues.

Telephone and Wake Call Services: The position requires precise handling of guest wake-up calls, ensuring correct timing and flawless delivery. The coordinator carefully records requests, follows established procedures, and maintains detailed call logs to guarantee reliability and consistency, providing guests with confidence in the hotel’s service standards.

Administrative System Control: The Guest Contact Coordinator is responsible for maintaining departmental systems, procedures, and operational logbooks. This includes updating records, monitoring workflows, and ensuring all communication tools function efficiently to support uninterrupted daily hotel operations.

Special Guest Request Handling: A key element of this role is responding to special guest requests with care and creativity. Tasks include message taking, document printing, and coordinating thoughtful arrangements for celebrations or special occasions, all designed to enhance guest satisfaction and create memorable experiences.

Technical and Operational Support: The role involves proactively managing technical and administrative requirements related to communication services. The coordinator identifies potential issues early, follows up on system needs, and ensures that all tools and resources remain aligned with operational expectations.

Interdepartmental Coordination: Strong collaboration with other hotel departments is essential in this role. The Guest Contact Coordinator ensures accurate information flow, supports service delivery, and follows up on guest-related matters to maintain operational harmony and service excellence throughout the property.
