Job Description

Position Overview

We are seeking a professional Front Desk cum Admin Assistant to join our team at our World Trade Center location in Dubai. The ideal candidate will combine excellent customer service skills with strong administrative capabilities to support our office operations in the oil & gas sector.

Key Responsibilities

Reception Duties

Greet and welcome visitors in a warm, professional manner

Manage the front desk area professionally

Handle incoming calls and route them appropriately

Screen and direct visitors to appropriate departments

Maintain visitor logs and security protocols

Provide information about company services to visitors

Manage appointment scheduling and calendar coordination

Administrative Support

Handle general administrative and clerical tasks

Manage meeting room bookings and preparations

Arrange meeting necessities (water, stationery, screen setup)

Maintain office supplies inventory

Coordinate with facilities management

Support administrative team with office setup and maintenance

Process incoming and outgoing mail

Assist with document preparation and filing

Support other administrative tasks as assigned

Office Management

Maintain cleanliness and professional appearance of reception area

Ensure office decorum meets company standards

Coordinate with cleaning and maintenance staff

Monitor and maintain office equipment

Assist in organizing office events and meetings

Support internal communication initiatives

Required Qualifications

Minimum 2 years of experience in a similar role

Bilingual proficiency with excellent English communication skills

Strong organizational and multitasking abilities

Proficiency in MS Office Suite

Professional appearance and demeanor

Experience in calendar management

Strong attention to detail

Preferred Qualifications

Previous experience in oil & gas industry

Knowledge of Arabic

Experience with office management software

Understanding of UAE business etiquette

Previous experience in a multinational environment
