Role Overview: The Executive Secretary role is a key administrative position providing high-level professional support to the General Manager within a luxury hospitality environment. This role requires exceptional organizational skills, discretion, and the ability to manage complex administrative responsibilities while maintaining the highest standards of confidentiality and professionalism expected within a prestigious executive office.

Executive Administrative Support: The role focuses on handling confidential secretarial and administrative tasks, including typing, formatting, and distributing executive correspondence, contracts, and meeting documentation. The Executive Secretary ensures accuracy, clarity, and timeliness in all written communications while supporting the General Manager in daily operational and strategic activities.

Document and Records Management: This position is responsible for maintaining structured filing systems, trace files, and document archives to support reporting and executive reference needs. Strong attention to detail is essential to ensure that records are properly organized, easily retrievable, and securely maintained in line with company standards and compliance requirements.

Communication and Scheduling Management: Acting as a gatekeeper for the executive office, the Executive Secretary screens incoming calls, manages appointments, and prioritizes communications efficiently. This role ensures smooth coordination of the General Manager’s schedule, handling incoming mail and fax communications with discretion while maintaining seamless information flow.

Meeting and Event Coordination: The Executive Secretary plays a central role in coordinating executive meetings by preparing conference rooms, arranging catering services, and ensuring all required materials are available. Tracking attendance and supporting meeting logistics ensures that executive sessions run smoothly and reflect the professional standards of the organization.

Office Operations and Professional Environment: Maintaining the executive suite’s professional appearance and functionality is a key responsibility.
