Position Overview
We are seeking an exceptional Executive Assistant to provide high-level support to our Group Chief Executive Officer (GCEO) and Group Head of HR (GHHR). This role requires a seasoned professional who can manage complex administrative responsibilities while maintaining the highest levels of confidentiality and professionalism.
Essential Requirements
Minimum 5 years of experience in executive assistant role
Fluency in both Arabic and English (written and spoken)
Bachelor's degree in Business Administration or related field
Strong experience supporting C-level executives
Key Responsibilities
Calendar and Meeting Management
Manage complex executive calendars, ensuring efficient time management and prioritization
Schedule and coordinate high-level meetings, both internal and external
Prepare comprehensive meeting materials, including agendas and presentations
Handle last-minute schedule changes with flexibility and professional judgment
Maintain effective communication with all stakeholders regarding scheduling
Travel Management
Arrange international and domestic travel arrangements for executives
Coordinate complex travel itineraries, including flights, accommodations, and ground transportation
Handle visa applications and ensure all travel documentation is in order
Create detailed travel schedules and briefing documents
Manage travel expenses and reconciliation
Administrative Support
Handle confidential correspondence and communications
Prepare and edit executive presentations and documents
Manage filing systems and maintain organized digital and physical records
Coordinate with other departments to gather information and prepare reports
Act as a liaison between executives and internal/external stakeholders
Office Management
Ensure smooth operation of executive offices
Manage executive expense reports and reconciliation
Coordinate with facilities management for office maintenance
Oversee office supply inventory and procurement
Maintain organized and efficient filing systems
Required Skills and Competencies
Exceptional organizational and time management skills
Advanced proficiency in Microsoft Office Suite
Strong attention to detail and accuracy
Excellent written and verbal communication skills in both Arabic and English
Ability to maintain strict confidentiality

Education and Experience
Bachelor's degree required
Minimum 5 years of experience as an Executive Assistant to C-level executives

Previous experience in UAE corporate environment is advantageous
