Roles & Responsibilities

We are seeking a dedicated and experienced Executive Assistant (EA) to provide comprehensive administrative support to the Chairman of our organization. The ideal candidate will be proactive, detail-oriented, and capable of managing a wide range of administrative tasks with discretion and efficiency. This role requires a high degree of professionalism and the ability to handle sensitive information confidentially.

Responsibilities:

Calendar Management: Coordinate the Chairman's schedule, including meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively manage adjustments as needed.

Communication Liaison: Manage incoming communications (phone calls, emails, letters) and respond on behalf of the Chairman when appropriate. Ensure timely and accurate communication with internal and external stakeholders.

Documentation and Reporting: Prepare and edit correspondence, reports, presentations, and other documents as required. Maintain organized filing systems, both physical and digital, to ensure efficient document management.

Meeting Coordination: Arrange logistics for meetings, conferences, and events attended or hosted by the Chairman. Prepare meeting materials, agendas, and minutes as necessary.

Travel Arrangements: Coordinate domestic and international travel arrangements, including flight bookings, accommodation, visas, and itineraries. Provide travel support and assistance during trips as needed.

Expense Management: Track expenses, prepare expense reports, and ensure timely submission and reimbursement processes.

Special Projects: Assist with special projects and initiatives as assigned by the Chairman, including research, data analysis, and maintaining his personal assets, maintenance, and presentation preparation.

Confidentiality: Handle confidential information with discretion and maintain confidentiality at all times.

Job Type: Full-time

Pay: From AED 10,000.00 per month

Desired Candidate Profile

Requirements:

Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives or high-profile individuals.

Minimum 8-10 years of experience in executive support roles.

Valid UAE driving license with a clean driving record.

Exceptional organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.

Strong written and verbal communication skills, with a keen eye for detail.

Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software applications.

Ability to work independently and collaboratively in a fast-paced environment.

High level of integrity and professionalism, with a proactive and problem-solving attitude.

MBA’s degree in Business Administration or a related field is preferred.
