Job Description

Role Overview – MMEC Mannesmann LLC is hiring a Document Controller for a full-time, on-site position based in Abu Dhabi. This position is ideal for detail-oriented professionals with strong organizational skills, document management expertise, and the ability to manage document control systems effectively, maintain document integrity, ensure regulatory compliance, coordinate document distribution, and support organizational information management within a dynamic energy sector environment.

Document Control System Management – You will manage document control systems by implementing procedures, maintaining document databases, and ensuring proper document management practices. You will coordinate document storage, manage version control, support document retrieval, and maintain system integrity.

Document Receipt and Registration – You will receive incoming documents, register them in document control systems, assign document numbers, and maintain document logs. You will verify document completeness, ensure proper categorization, and track document entry into the system.

Version Control and Updates – You will manage document versions by maintaining current versions, archiving superseded versions, and controlling version changes. You will track version history, ensure only current versions are distributed, and prevent use of obsolete documents.

Document Distribution and Transmission – You will coordinate document distribution by organizing distribution lists, ensuring documents reach appropriate recipients, and maintaining distribution records. You will verify recipients receive correct documents and track distribution accordingly.

Access Control and Security – You will manage document access by controlling who accesses documents, maintaining security protocols, and protecting sensitive documents. You should ensure appropriate access levels and support document security requirements.

Drawing and Technical Document Management – You will manage technical drawings and construction documents by organizing files, maintaining drawing registers, and controlling drawing distribution. You will coordinate drawing changes, maintain drawing archives, and support drawing management.

Specification Document Organization – You will organize specification documents by maintaining specification files, coordinating specification updates, and ensuring specifications are current. You should support specification management and coordinate specification revisions.

Correspondence Management – You will manage project correspondence by filing letters, emails, and communications appropriately, maintaining correspondence files, and organizing communication records. You should support easy correspondence retrieval and maintain organized files.

Document Indexing and Cataloging – You will index and catalog documents to support organization and retrieval by creating document indexes, maintaining document catalogs, and organizing filing systems. You should ensure documents are easily locatable and properly categorized.

Submittals and Review Coordination – You will coordinate submittals by organizing submittal documentation, coordinating reviews, and tracking submittal approvals. You should maintain submittal records and support the submittal review process.

Records Retention Management – You will manage document retention by ensuring documents are retained according to legal and regulatory requirements, disposing of documents appropriately, and maintaining retention schedules. You should understand retention requirements and comply with disposal procedures.

Compliance and Regulatory Documentation – You will maintain compliance documentation including regulatory filings, permit documents, and compliance records. You should organize compliance files and support regulatory document management.

Change Order and Modification Management – You will organize and manage change orders and document modifications by maintaining change documentation, coordinating change approvals, and filing approved changes. You should track modifications and support change management processes.

Document Quality Assurance – You will ensure document quality by verifying document completeness, checking for errors, and ensuring compliance with documentation standards. You should maintain high documentation standards and identify quality issues.

Stakeholder Communication and Coordination – You will communicate with project teams, management, and other stakeholders regarding document status, document requirements, and document management issues. You should facilitate effective communication and support collaborative document management.

Database Maintenance and Updates – You will maintain document databases by updating records, ensuring data accuracy, and organizing information systematically. You should keep databases current and ensure information integrity.

Training and Procedure Support – You will support document management training by explaining document control procedures, assisting team members with document processes, and providing guidance on document management requirements. You should promote understanding of document control procedures.

Audit Support and Documentation – You will support audits by preparing documentation, organizing audit records, and responding to audit inquiries regarding document management. You should maintain proper audit trails and support compliance verification.

Multi-Project Document Coordination – You will coordinate documents across multiple projects by managing project-specific files, maintaining separate project records, and organizing multi-project documentation. You should support efficient document management across portfolio of projects.

Continuous Process Improvement – You will identify opportunities to improve document management processes, suggest efficiency enhancements, and support implementation of improvements. You should contribute to organizational learning regarding document control best practices.


Document Control Experience (Mandatory) – Proven experience as a Document Controller, Records Manager, or in a similar document management role is mandatory. Your background should demonstrate competency in document control systems, version management, and document organization.

Document Management Systems Knowledge (Mandatory) – Strong knowledge of document management systems, document control procedures, and best practices is mandatory. You should understand document management principles and practices.

Organizational Skills (Mandatory) – Exceptional organizational abilities and attention to detail are mandatory. You should maintain organized document systems, track multiple document streams, and ensure precision in document management.

Technical Drawing Knowledge (Mandatory) – Understanding of technical drawings, drawing management, and drawing control processes is mandatory. You should be familiar with construction drawings and engineering documents.

Compliance and Regulatory Knowledge (Mandatory) – Knowledge of compliance requirements, regulatory documentation, and record retention standards is mandatory. You should understand regulatory obligations and compliance documentation.

Computer Proficiency (Mandatory) – Competent use of computers, office software, database systems, and document management software is mandatory. You should be comfortable learning document control systems.

Language Proficiency (Mandatory) – Fluent English is mandatory. Arabic language proficiency is desirable for communication with Arabic-speaking team members and stakeholders in Abu Dhabi.

Attention to Detail (Mandatory) – Exceptional attention to detail is mandatory in document control work. You should catch document errors, verify accuracy, and maintain precision in all document activities.

Time Management (Mandatory) – Good time management skills are mandatory to handle multiple documents, meet distribution deadlines, and maintain timely document processing. You should prioritize effectively and maintain productivity.

Communication Skills (Mandatory) – Good verbal and written communication abilities are mandatory. You should communicate clearly regarding document status, document requirements, and document management issues.

Educational Background (Mandatory) – A high school diploma or equivalent is mandatory. Some training in document management, records management, or office administration is preferred but not required.

UAE/Abu Dhabi Experience (Preferred) – Previous document control experience in the UAE or Abu Dhabi is preferred, as familiarity with local business practices and regulatory environment enhances effectiveness.

Energy Sector Experience (Preferred) – Previous experience in energy, oil and gas, construction, or industrial sectors is preferred and demonstrates understanding of industry-specific documentation requirements.

Project Management Experience (Preferred) – Experience supporting project management or coordinating project documentation is preferred.

Construction Industry Experience (Preferred) – Experience managing construction documents, technical drawings, or construction project documentation is preferred.

Engineering Document Management (Preferred) – Experience managing engineering documents, specifications, or technical documentation is preferred.

**Database Management (Preferred) –– Experience with database systems or document management software is preferred.

Drawing Management Tools (Preferred) – Familiarity with CAD systems or drawing management software is preferred.

Microsoft Office Proficiency (Mandatory) – Good proficiency with Microsoft Word, Excel, and Outlook is mandatory for administrative support and document management.

Excel Skills (Mandatory) – Ability to maintain spreadsheets, create document indexes, and manage data in Excel is mandatory for document tracking.

Reliability and Punctuality (Mandatory) – Consistent reliability, punctuality, and commitment to attendance are mandatory. You should be dependable and maintain excellent attendance.

Confidentiality and Discretion (Mandatory) – Commitment to maintaining confidentiality regarding sensitive documents and business information is mandatory. You should handle confidential documents appropriately and maintain security.
