Customer Service Representative

Job Description

Role Overview – Bin Yaber Driving Institute is hiring a Customer Service Representative for a full-time, on-site role based in Dubai, UAE. This position is ideal for customer-focused professionals with strong communication skills, administrative capabilities, and the ability to handle student inquiries, coordinate driving lesson bookings, manage enrollment processes, and deliver excellent customer service within a driving institute and training center environment.

Customer Service and Student Support – You will provide exceptional customer service and student support by welcoming walk-in students and visitors warmly, responding to inquiries about driving courses and services via phone, email, and in-person, explaining course options (RTA courses, driving lessons, license services), providing information about pricing and packages, addressing student concerns professionally, and ensuring positive customer experiences throughout the student journey.

Student Enrollment and Registration – You will manage student enrollment and registration by processing new student registrations, collecting required documentation (Emirates ID, passport, visa, photographs), completing enrollment forms and applications, entering student information into systems accurately, coordinating with RTA (Roads and Transport Authority) on student registration, and ensuring smooth enrollment processes.

Driving Lesson Scheduling and Coordination – You will schedule and coordinate driving lessons by booking driving lesson appointments, coordinating with driving instructors on availability, managing lesson schedules and calendars, confirming appointments with students, rescheduling lessons when needed, optimizing instructor utilization, and ensuring efficient scheduling operations.

Course Information and Consultation – You will provide course information and consultation by explaining different driving course options (manual/automatic transmission, intensive courses, regular courses), advising students on appropriate courses based on their needs, outlining course structures and requirements, explaining RTA regulations and procedures, providing guidance on license application processes, and helping students make informed decisions.

Payment Processing and Financial Transactions – You will process payments and financial transactions by collecting course fees and payments, processing cash and card transactions, issuing receipts and invoices, managing installment payment plans when applicable, coordinating with accounts on payment reconciliation, and maintaining accurate financial records.

RTA Coordination and Documentation – You will coordinate with RTA and manage documentation by processing RTA applications and forms, submitting student documents to RTA, tracking RTA file statuses, coordinating RTA test bookings (theory tests, parking tests, road tests), following up on RTA approvals and licenses, and ensuring compliance with RTA requirements and procedures.

Student Records and Database Management – You will manage student records and databases by maintaining accurate student information, updating student files and systems, tracking student progress through courses, managing enrollment databases, documenting student communications and transactions, and ensuring organized, accessible student records.

Inquiry Management and Follow-Up – You will manage inquiries and follow-up by responding to prospective student inquiries promptly, providing detailed information about services, following up with leads and prospects, converting inquiries into enrollments, tracking inquiry sources and conversion rates, and maintaining communication with potential students.

Complaint Handling and Resolution – You will handle complaints and resolve issues by addressing student complaints and concerns empathetically, investigating service issues, coordinating with instructors and management on resolutions, implementing service recovery, escalating complex matters when necessary, and ensuring student satisfaction and retention.

Communication and Information Dissemination – You will manage communication by informing students about course schedules and updates, sending appointment reminders and confirmations, communicating policy changes and announcements, coordinating student notifications, maintaining clear communication channels, and ensuring students receive timely, accurate information.
