Job Description: Collaboration Suite Administrator (Microsoft 365)

Responsibilities:

Microsoft 365 Administration:

Serve as the primary administrator for the Microsoft 365 suite of collaboration tools, including Exchange Online, SharePoint Online, Teams, OneDrive for Business, and other associated services.

User Management:

Manage user accounts, licenses, groups, and permissions within the Microsoft 365 environment.

Provision and deprovision user accounts, assign appropriate licenses, and ensure compliance with security and access control policies.

Exchange Online Management:

Configure and maintain Exchange Online mailboxes, distribution lists, transport rules, and other messaging features.

Monitor and manage mail flow, troubleshoot email delivery issues, and implement security controls to protect against spam, malware, and phishing threats.

SharePoint Online Administration:

Administer SharePoint Online sites, libraries, lists, and permissions.

Configure document management features, versioning, metadata, and search settings.

Monitor SharePoint usage and performance, and troubleshoot issues as needed.

Teams Administration:

Manage Microsoft Teams channels, chat, meetings, and collaboration features.

Configure Teams policies, governance settings, and security controls.

Monitor Teams usage and adoption, and provide training and support to end-users as needed.

OneDrive for Business Management:

Configure and manage OneDrive for Business accounts, storage quotas, and sharing settings.

Monitor file synchronization, access permissions, and usage reports.

Troubleshoot synchronization issues and provide user support.

Security and Compliance:

Implement security best practices and compliance controls across the Microsoft 365 environment.

Configure Data Loss Prevention (DLP) policies, retention policies, eDiscovery, and audit logging.

Monitor security alerts and investigate potential security incidents.

Integration and Migration:

Collaborate with IT teams to integrate Microsoft 365 services with other systems and applications.

Plan and execute migration projects from on-premises environments to Microsoft 365, including email migrations from legacy platforms.

Documentation and Training:

Maintain up-to-date documentation of Microsoft 365 configurations, procedures, and best practices.

Develop and deliver training sessions, tutorials, and knowledge base articles for end-users and IT staff.

Continuous Improvement:

Stay informed about new features, updates, and enhancements in the Microsoft 365 platform.

Evaluate and recommend improvements to collaboration tools, processes, and workflows to enhance productivity and user experience.

Requirements:

Education:

Bachelor's degree in Information Technology, Computer Science, or related field.

Experience:

4-6 years of experience in Microsoft 365 administration, with a focus on Exchange Online, SharePoint Online, Teams, and OneDrive for Business.

Certifications:

Microsoft 365 certification such as Microsoft 365 Certified: Modern Desktop Administrator Associate, Microsoft 365 Certified: Messaging Administrator Associate, or similar certification is preferred.

Skills:

Strong understanding of Microsoft 365 services, features, and capabilities, including integration points between Exchange Online, SharePoint Online, Teams, and other Microsoft applications.

Experience with PowerShell scripting for automation and management of Microsoft 365 environments.

Familiarity with Microsoft Graph API is a plus.

Excellent troubleshooting and problem-solving skills, with the ability to diagnose and resolve issues related to email delivery, SharePoint sites, Teams channels, and OneDrive synchronization.

Knowledge of security and compliance features in Microsoft 365, including DLP, retention policies, eDiscovery, and Multi-Factor Authentication (MFA).

Effective communication and collaboration skills, with the ability to work closely with IT teams, end-users, and third-party vendors.

Experience with migration projects from on-premises environments to Microsoft 365, including planning, preparation, and execution phases.

Strong organizational skills and attention to detail, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.

Commitment to continuous learning and professional development, with a passion for staying updated on Microsoft 365 technologies and industry best practices.
