Position Overview

Hayllar Music Tours is seeking a dedicated Client Services Coordinator to join our team in Sydney. This full-time role is central to our client experience, managing guest communications from initial inquiry through booking and post-travel follow-up. As the primary point of contact for our discerning clients, you will help deliver exceptional service while supporting our specialized cultural tours featuring classical music, private recitals, and behind-the-scenes access to industry figures.

Key Responsibilities

Client Relations

Serve as first point of contact for all client inquiries via phone, email, and written correspondence

Provide comprehensive information about our music tour offerings

Process bookings, payments, and generate accurate client invoices

Arrange supplementary travel services including flights, accommodation, transfers, and insurance

Prepare and distribute tour documentation packages

Manage post-tour correspondence and feedback

Attend client events as a company representative

Administrative Functions

Maintain accurate client records in our Zoho database

Utilize Amadeus GDS for travel bookings and management

Identify and implement process improvements for client service workflows

Assist with tour planning activities as needed

Complete other administrative duties as assigned by management

Required Qualifications

Demonstrated excellence in customer service

Superior verbal and written communication skills

Advanced computer literacy and ability to learn new systems quickly

Relevant tertiary qualification

Knowledge of or genuine interest in classical music, opera, theater, and art

Strong organizational skills with ability to manage multiple deadlines

Meticulous attention to detail

Experience with Amadeus GDS and/or Zoho CRM (preferred)
