Position Overview
We are looking for a detail-oriented Administrative Assistant who will serve as the first point of contact for our office while providing comprehensive administrative support to ensure smooth office operations.
Key Responsibilities
Reception Duties
Welcome and assist visitors, directing them to appropriate departments
Manage incoming calls and correspondence
Maintain visitor log and issue visitor passes
Ensure reception area is professional and welcoming
Handle incoming and outgoing mail and courier services
Administrative Support
Provide general administrative support to various departments
Manage office calendar and schedule meetings
Prepare and organize documents, reports, and presentations
Maintain filing system and office records
Coordinate office supplies and stationery inventory
Assist with travel arrangements when required
Take minutes during meetings
Handle basic bookkeeping tasks
Office Management
Oversee office maintenance and cleanliness
Coordinate with facilities management
Manage office equipment and maintenance schedules
Assist in organizing office events and meetings
Support internal communication initiatives
Help maintain office policies and procedures
Required Qualifications
Bachelor's degree in any field
Minimum 1 year of experience in a similar administrative role
Excellent proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Fluent in English (written and spoken)
Strong organizational and multitasking abilities
Professional appearance and demeanor
Excellent communication and interpersonal skills
Preferred Qualifications
Previous hotel or hospitality industry experience
Knowledge of Arabic
Experience with office management software
Understanding of UAE business etiquette
Experience in handling confidential information
