Position Overview
As our Administrative Assistant, you'll be responsible for maintaining smooth administrative operations, managing stakeholder communications, and supporting various projects and events. The ideal candidate is a solutions-focused professional with excellent organizational skills and the ability to prioritize competing demands.
Key Responsibilities
Communication & Customer Service
Respond to email inquiries professionally, promptly, and appropriately
Manage Soundabout Zoom accounts including creating and sharing links and recordings
Liaise with various stakeholders, maintaining professional communication at all times
Merchandise & Equipment Management
Source and maintain Soundabout merchandise stock
Update online shop and process orders
Maintain equipment inventories and organize necessary maintenance (including PAT testing)
Data Management & Systems
Input, update, and maintain stakeholder, project, event, and evaluation data using Salesforce CRM
Manage Office 365 systems and support colleagues in maximizing their use
Schedule and manage monitoring and evaluation surveys, providing results for reporting
Event & Project Administration
Manage project and event sign-up processes using Enthuse
Research and book venues, checking accessibility requirements
Arrange refreshments and equipment as needed
Process administrative documentation for projects, training, partnerships, and memberships
HR & Organizational Support
Assist with recruitment and HR administration using Breathe HR
Support DBS checks, track training requirements, and insurance renewals
Perform additional administrative tasks as needed
Qualifications & Requirements
Essential
Experience in organizational administration (voluntary or paid)
Excellent administrative and organizational skills
Strong attention to detail and proof-reading abilities
Proficiency with Office 365 and ability to quickly learn other systems (Salesforce, WordPress, Enthuse, MailChimp, Zoom)
Strong communication skills and ability to work with diverse stakeholders
Self-motivated with ability to prioritize and manage workload independently
Flexible, adaptive approach to work requirements
Commitment to high-quality work standards

We offer a wide range of music making and training opportunities, online and in-person around the country, that enhance wellbeing, communication, community, self-expression, and enjoyment.
We focus on what individuals can do and follow their lead. Last year, we ran 962 music making sessions alongside 1,576 Learning Disabled people.
