Job Description

Position Overview

We are seeking a detail-oriented and efficient Administrative Assistant to provide comprehensive support to our engineering team. The ideal candidate will be a self-starter with excellent organizational skills who can manage administrative tasks while contributing to the overall efficiency of our operations.

Key Responsibilities

Manage correspondence, including emails, letters, and internal communications

Schedule and coordinate meetings, appointments, and travel arrangements for team members

Prepare and edit documents, reports, and presentations using MS Office suite

Maintain electronic and physical filing systems for project documentation

Process expense reports and assist with basic accounting tasks

Coordinate with clients, vendors, and internal departments to facilitate smooth operations

Take minutes during meetings and distribute them to relevant stakeholders

Assist in the preparation of project documentation and submissions

Handle confidential information with discretion and professionalism

Support project coordinators with administrative aspects of engineering projects

Perform general office duties including ordering supplies and managing office equipment

Qualifications

Bachelor's degree in Business Administration or related field

Minimum 1 year of experience in an administrative role (experience in engineering or construction industry preferred)

Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook)

Excellent written and verbal communication skills in English (Arabic is a plus)

Strong organizational skills with the ability to multitask and prioritize effectively

Attention to detail and accuracy in documentation

Ability to work independently and as part of a team

Knowledge of engineering terminology and documentation practices (preferred)

Professional demeanor and customer service orientation
