About the Role

We are seeking a detail-oriented Administrative Assistant with real estate experience to join our dynamic team in Dubai. The ideal candidate will combine strong organizational skills with excellent communication abilities to support our real estate operations and maintain efficient office procedures.

Key Responsibilities

Office Management

Serve as the first point of contact for office visitors and incoming communications

Manage office supplies and maintain inventory

Handle incoming and outgoing correspondence

Maintain a professional and welcoming office environment

Organize and maintain filing systems, both physical and digital

Real Estate Operations Support

Manage and update property listings across various platforms

Assist in preparing and organizing property documentation

Coordinate property viewings and maintain viewing schedules

Support agents with client presentations and materials

Handle client inquiries and follow-ups

Contract and Documentation Management

Draft and review real estate contracts

Ensure compliance with UAE real estate regulations

Maintain accurate records of all transactions

Organize and file important documents

Assist in preparing reports and presentations

Administrative Coordination

Schedule and coordinate meetings and appointments

Organize company events and team activities

Manage calendar for executive team members

Arrange travel arrangements when required

Take and distribute meeting minutes

Client Relations

Communicate professionally with clients in English and Russian

Handle initial client inquiries and direct them appropriately

Assist in preparing client proposals and presentations

Maintain client database and update contact information

Support follow-up communications

Required Qualifications

Bachelor's degree in Business Administration or related field (preferred)

Minimum 2 years of administrative experience in UAE real estate

Fluent in English and Russian (written and spoken)

Proficiency in Microsoft Office Suite

Strong organizational and time management skills

Technical Skills

Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint)

Experience with CRM systems

Knowledge of real estate software platforms

Typing speed of at least 50 WPM

Familiarity with digital filing systems
