Admin Staff Officer

Job Description

Role Overview – Onplan Company is hiring an Admin Staff Officer for a full-time, on-site role based in Dubai, UAE. This position is ideal for organized, detail-oriented administrative professionals with strong coordination skills, multitasking abilities, and experience managing office operations, documentation, administrative support, and day-to-day administrative functions across the organization.

Administrative Support and Coordination – You will provide comprehensive administrative support and coordination by assisting management and department heads with administrative tasks, managing schedules and calendars, coordinating meetings and appointments, preparing agendas and minutes, organizing travel arrangements, and ensuring efficient administrative operations that support business productivity.

Office Management and Operations – You will manage office operations by maintaining organized office environments, managing office supplies and inventory, coordinating office equipment maintenance, liaising with building management and service providers, overseeing office facilities, and ensuring smooth day-to-day office operations.

Documentation and Record Management – You will manage documentation and records by preparing correspondence and official documents, maintaining filing systems (physical and digital), organizing contracts and agreements, archiving documents properly, ensuring document version control, and maintaining accurate, accessible records for business operations and compliance.

Communication and Correspondence – You will manage communication and correspondence by handling incoming and outgoing emails and phone calls, screening and directing calls appropriately, drafting letters and memos, coordinating internal communications, managing official correspondence with clients and vendors, and ensuring professional, timely communication.

Meeting Coordination and Support – You will coordinate meetings and provide support by scheduling meetings, booking meeting rooms, preparing meeting materials and presentations, setting up audio-visual equipment, taking meeting minutes, distributing action items, and following up on meeting outcomes.

Data Entry and Database Management – You will manage data entry and databases by maintaining accurate records in company systems, updating databases and spreadsheets, tracking information, generating reports from data, ensuring data accuracy and integrity, and managing information efficiently.
