Overview:

Sundus Global is a dynamic organization seeking a detail-oriented and proactive Admin Coordinator to join our team in Dubai. We are looking for a professional who can provide comprehensive administrative support and contribute to the smooth operation of our corporate activities.

Primary Objective:

To provide high-level administrative support, ensuring efficient coordination of meetings, travel arrangements, and corporate events while maintaining the highest standards of professionalism and organizational excellence.

Key Responsibilities:

Administrative Support

Manage and coordinate complex administrative tasks with precision and efficiency

Prepare comprehensive reports and documentation

Conduct research and compile information for management

Maintain organized filing systems (both digital and physical)

Handle incoming communications, including emails, phone calls, and correspondence

Support executive team with day-to-day administrative requirements

Meeting and Event Coordination

Schedule and coordinate internal and external meetings

Prepare meeting agendas, minutes, and follow-up documentation

Manage meeting logistics, including venue selection, catering, and technical requirements

Arrange travel itineraries for company executives

Coordinate corporate events from planning to execution

Manage event budgets and expense tracking

Communication and Liaison

Act as a primary point of contact for internal and external stakeholders

Facilitate communication between different departments

Coordinate with vendors, suppliers, and external partners

Manage correspondence and communication protocols

Reporting and Documentation

Develop and maintain detailed administrative reports

Assist in preparing presentations and supporting materials

Track and manage administrative workflows

Ensure accuracy and completeness of all documentation

Qualifications and Requirements:

Educational Background

Bachelor's degree in Business Administration, Office Management, or related field

Additional certifications in administrative management are advantageous

Professional Experience

2-3 years of experience in administrative coordination

Proven track record in a similar administrative role

Experience in corporate event management preferred

Technical Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

Advanced skills in Google Workspace

Familiarity with project management and scheduling software

Strong digital documentation and filing skills
