Job Description

Job Overview: Quess Corp Middle East is currently seeking a proactive and organized Admin Assistant to join our office located in Business Bay, Dubai. The ideal candidate will be detail-oriented, efficient, and capable of managing daily administrative operations in a professional office environment. This position requires excellent communication skills, a strong sense of responsibility, and the ability to multitask in a fast-paced corporate setting.

Key Responsibilities: The Admin Assistant will handle general office duties such as managing correspondence, maintaining records, organizing files, and supporting the office team with administrative tasks. Responsibilities will also include scheduling meetings, coordinating appointments, handling phone calls, and ensuring smooth office operations. The candidate must ensure that all administrative activities are completed accurately and delivered with high quality and in a timely manner.

Documentation and Reporting: The role involves preparing and managing office documentation, including reports, memos, and internal communications. The Admin Assistant will assist in data entry, maintain spreadsheets, and ensure that all records are properly updated and accessible. The ability to prepare clear and concise reports for management will be an asset for this role.

Team and Client Support: The successful candidate will provide essential administrative support to team members, including assisting in coordination with external clients, suppliers, and service providers. This role requires professionalism in handling inquiries, greeting visitors, and ensuring that all client interactions reflect the company’s high service standards.

Office Coordination: The Admin Assistant will ensure proper inventory of office supplies and coordinate with vendors for procurement as needed. They will oversee office maintenance, cleanliness, and ensure that all administrative resources are available and functioning properly. Maintaining an efficient and organized workspace will be part of daily operations.

Skills and Competencies: The role requires strong organizational and multitasking skills, attention to detail, and proficiency in Microsoft Office applications such as Word, Excel, and Outlook. The ideal candidate should possess excellent verbal and written communication abilities, a positive attitude, and the capacity to work independently with minimal supervision. Prior experience in an administrative role within Dubai will be an added advantage.
