Job Description

Job Overview: We are seeking a proactive and organized Admin Assistant to join our growing team in Um Suqeim, Dubai. The successful candidate will play a key role in maintaining smooth office operations, providing administrative support to management, and ensuring effective coordination across departments. This position is ideal for someone who thrives in a dynamic environment and values precision, teamwork, and communication.

Key Responsibilities: The Admin Assistant will handle daily administrative duties including scheduling meetings, preparing correspondence, maintaining databases, and supporting office documentation. You will serve as the first point of contact for internal and external communications, ensuring that all inquiries are addressed promptly and professionally. You’ll also assist with procurement coordination, office inventory management, and maintaining compliance with company policies.

Office Coordination: This role requires excellent time management skills and a keen eye for detail. You will coordinate with other departments to ensure daily operations run efficiently, manage incoming mail and calls, and help organize company events and meetings. Additionally, the candidate will support HR tasks like attendance tracking, staff onboarding, and employee documentation updates.

Communication & Liaison: As an Admin Assistant, you will act as a liaison between the management team, employees, and external partners. Strong interpersonal skills are crucial, as you will frequently interact with suppliers, clients, and government offices. You’ll assist in preparing reports, drafting letters, and ensuring all communication reflects the company’s professionalism and standards.

Technology & Reporting: You will utilize Microsoft Office Suite and other digital tools to generate accurate reports, manage spreadsheets, and maintain organized electronic filing systems. The role also involves assisting in data entry, supporting finance teams with petty cash management, and ensuring confidentiality of sensitive company information.
