Job Description

Position Overview

We are seeking a highly organized and efficient Administrative Assistant to join our team in Dubai. The ideal candidate will be proactive, detail-oriented, and possess excellent multitasking abilities to support various administrative functions.

Key Responsibilities

Office Management

Maintain office supplies inventory and place orders as needed

Organize and maintain filing systems, both digital and physical

Manage office equipment and coordinate maintenance when required

Ensure the office environment remains professional and welcoming

Administrative Support

Handle incoming calls, emails, and correspondence

Schedule and coordinate meetings and appointments

Prepare and edit business documents, reports, and presentations

Maintain executive calendars and arrange meetings

Data Entry & Record Keeping

Input and maintain accurate data in company databases

Create and update spreadsheets and documents

Manage filing systems and maintain organized records

Generate regular reports as required

Travel Arrangements

Book flights, hotels, and transportation for staff

Prepare travel itineraries and required documentation

Process travel expenses and reimbursements

Coordinate visa applications when necessary

Customer Service

Serve as the first point of contact for clients and visitors

Handle customer inquiries professionally and efficiently

Maintain positive relationships with clients and vendors

Follow up on customer requests and concerns

Special Project Support

Assist in organizing company events and meetings

Support various departmental projects as needed

Help prepare presentations and reports

Coordinate with different departments for project completion

Required Qualifications

Bachelor's degree in Business Administration or related field

Minimum 2 years of administrative experience

Excellent computer skills, including MS Office Suite

Strong English communication skills, both written and verbal

Experience with office management systems and procedures

Preferred Skills

Arabic language skills

Previous experience working in the UAE

Knowledge of local business practices

Familiarity with travel booking systems

Experience in customer service

Personal Qualities

Ability to multitask and prioritize effectively
