Accountant Assistant

Job Description

Role Overview – United International Private School Dubai (UIPS) is hiring an Assistant Accountant for a full-time, on-site role based in Dubai, UAE. This position is ideal for detail-oriented accounting professionals with foundational to intermediate accounting knowledge who can support financial operations, assist with bookkeeping, manage accounts payable and receivable, and contribute to accurate financial record-keeping within an educational institution environment.

Accounts Payable and Receivable Support – You will support accounts payable and receivable functions by processing supplier invoices, verifying payment accuracy, tracking student fee payments, managing aging reports, following up on outstanding receivables, and ensuring timely settlement of financial obligations.

General Ledger and Transaction Recording – You will assist with general ledger management by recording and posting daily financial transactions, preparing journal entries, maintaining the chart of accounts, and ensuring all financial data is accurately entered into accounting systems.

Bank Reconciliation – You will perform bank reconciliations by matching bank statements with company records, identifying discrepancies, investigating variances, and ensuring accurate tracking of cash flow and banking transactions across school accounts.

Invoicing and Fee Management – You will support invoicing and fee management by preparing student fee invoices, processing tuition payments, managing payment plans, coordinating with the admissions and finance teams, and ensuring accurate billing and receipt recording for school fees and services.

Cash Handling and Petty Cash Management – You will manage cash handling and petty cash by processing cash receipts, maintaining petty cash registers, reconciling petty cash accounts, verifying expense documentation, and ensuring proper documentation and approval of all cash transactions.

Financial Reporting Support – You will assist with financial reporting by preparing schedules, compiling data for monthly and annual reports, supporting variance analysis, and providing accurate financial information to senior accountants and management.

Month-End and Year-End Close Support – You will support month-end and year-end closing activities by assisting with accruals, reconciling accounts, preparing closing schedules, and ensuring all transactions are recorded and balanced in accordance with accounting timelines.

VAT and Tax Compliance Support – You will assist with UAE VAT compliance by maintaining VAT records, supporting VAT return preparation, ensuring invoices comply with Federal Tax Authority (FTA) regulations, and coordinating with senior accountants on tax-related matters.

Expense Tracking and Documentation – You will track expenses and manage supporting documentation by organizing receipts, verifying expense claims, processing reimbursements, and maintaining proper filing of all financial documents for audit and compliance purposes.

Vendor and Supplier Coordination – You will coordinate with vendors and suppliers by processing purchase orders, verifying invoices against delivery receipts, communicating payment schedules, and maintaining positive relationships with school service providers.

Payroll Support (if applicable) – You may support payroll activities by collecting attendance data, verifying salary information, assisting with payroll processing coordination, and ensuring accurate and timely payment of staff salaries and benefits.

Administrative Accounting Support – You will provide general administrative support to the finance department by managing calendars, preparing correspondence, organizing meetings, maintaining office supplies, and ensuring smooth daily operations of the accounting function.

Accounting Software and Systems – You will use accounting software and ERP systems by recording transactions, generating reports, maintaining financial data, and ensuring all systems are updated accurately and efficiently to support school financial operations.

Cross-Functional Coordination – You will coordinate with internal departments including admissions, HR, facilities, and management by providing financial information, clarifying account details, and supporting cross-functional collaboration to ensure alignment between finance and school operations.

Assistant Accountant Experience – Prior experience as an Assistant Accountant, Accounts Assistant, Junior Accountant, or in a similar entry to mid-level accounting role is required. Your background should demonstrate foundational accounting knowledge and hands-on experience with bookkeeping and financial administration.

Education Sector Experience (Preferred) – Experience working in the education sector, particularly in schools or educational institutions, is a plus. Familiarity with student fee management, education accounting practices, and school financial operations will strengthen your candidacy.

Basic Accounting Knowledge – Strong understanding of basic accounting principles including double-entry bookkeeping, accounts payable and receivable, bank reconciliation, and financial record-keeping is essential.

UAE Experience (Preferred) – Experience working in the UAE, particularly with knowledge of UAE VAT regulations and local accounting practices, is preferred and will strengthen your candidacy.
