Job Description

Position: Executive Secretary

Location: Dubai, UAE

Salary: 4500 AED per month

Responsibilities:

Administrative Support: Provide high-level administrative support to executives, including managing schedules, coordinating meetings, and handling correspondence.

Document Management: Maintain and organize company documents, including contracts, reports, and presentations, ensuring easy retrieval and confidentiality.

Communication Liaison: Serve as a primary point of contact for internal and external communication, managing emails, phone calls, and inquiries effectively and professionally.

Travel Arrangements: Coordinate travel arrangements for executives, including flights, accommodations, and transportation, ensuring efficiency and cost-effectiveness.

Meeting Coordination: Schedule and organize meetings, prepare agendas, take minutes, and follow up on action items to facilitate smooth decision-making processes.

Office Management: Oversee office operations, including supply management, equipment maintenance, and vendor relations, to ensure a conducive work environment.

Event Coordination: Assist in planning and executing company events, such as conferences, seminars, and workshops, to support networking and business objectives.

Data Management: Maintain accurate records and databases, inputting and updating information as necessary to support decision-making and reporting.

Confidentiality: Handle sensitive information with discretion and confidentiality, adhering to company policies and legal requirements at all times.

Ad-Hoc Tasks: Undertake various ad-hoc tasks and projects as assigned by executives, demonstrating flexibility and willingness to contribute to the company's success.

Qualifications:

Bachelor's degree in Business Administration or related field preferred.

Proven experience as an executive secretary or administrative assistant.

Proficiency in Microsoft Office Suite and other relevant software.

Excellent communication and interpersonal skills.

Strong organizational and time-management abilities.

Ability to multitask and prioritize tasks effectively.

Attention to detail and accuracy in work.

Knowledge of office management systems and procedures.
