Job Description

Job Title: Administrative Assistant with HR Experience
Location: Dubai Production City, Dubai, UAE
Responsibilities:
Administrative Support:
Provide comprehensive administrative support to the team, including managing calendars, scheduling appointments, and arranging travel logistics.
Handle email correspondence, answer phone calls, and respond to inquiries in a professional and timely manner.
Assist in organizing meetings, preparing agendas, and taking minutes when required.
HR Coordination:
Coordinate recruitment activities, including scheduling interviews, conducting pre-employment checks, and facilitating onboarding processes for new hires.
Assist in organizing orientation sessions, training programs, and employee development initiatives.
Maintain accurate employee records, update databases, and ensure compliance with data protection regulations.
Payroll and Benefits Administration:
Support HR processes related to payroll management, including timesheet tracking, leave management, and calculation of overtime hours.
Assist in administering employee benefits programs, including health insurance, retirement plans, and other employee perks.
Address employee inquiries regarding payroll, benefits, and other HR-related matters with professionalism and confidentiality.
General Administrative Tasks:
Manage general administrative tasks, such as filing documents, processing invoices, and ordering office supplies.
Follow up on client requests, track project timelines, and ensure timely delivery of services.
Record and track samples shipping, ensuring accuracy and compliance with relevant regulations.
Requirements:
Proven experience as an Administrative Assistant with exposure to HR functions.
Familiarity with recruitment processes, including interview coordination and onboarding procedures.
Strong organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines.
Excellent communication and interpersonal skills, both verbal and written.
Proficiency in MS Office suite (Word, Excel, PowerPoint) and HRIS software.
Knowledge of UAE labor laws and regulations is preferred.
Ability to maintain confidentiality and handle sensitive information with discretion.
Must be able to commute to the office location in Dubai Production City.
